Can anyone share how they have terminated/laid off during a virtual only environment? Specifically several people at once. How does the process/logistics look? Wondering what is the best process/logistics to take for those being let go. Also, for those who stay, what worked best -communication wise? How have you handled equipment and any other security considerations given that the person(s) are not in the office.

Haven’t had to do a RIF during COVID but have had several perf based terms. We deliver the message over Teams, have IT shut off access fifteen minutes after the start of the meeting, then follow up via email (to their personal email) with final logistics. We send separation agreements via adobe sign. We have IT send a laptop box and prepaid return label to their home to collect equipment.

Unfortunately, we’ve had to do a RIF due to the effects of COVID-19. I wrote scripts for our CEO and managers who were letting go of a direct report. We held a virtual all-hands meeting in the morning to announce the RIF and explain logistics of the day. I then immediately sent out individual meeting invites to the manager and direct report with a zoom link. I sat in each zoom with the manager as they used the script to deliver the message - IT sat on standby to remotely shut off the employee’s access at the end of the meeting (I notified them via slack). We then sent the separation agreement to each person via DocuSign, and I also provided them with a “what’s next” document, which included information about final pay, benefits, 401k, equipment return, etc., that I shared via email to each individual after their meeting. For equipment return, we either shipped a laptop box with return label or if they were local, I scheduled a courier service to do the pickup and drop off. We then conducted a virtual all-hands meeting the following morning where our CEO addressed the go-forward team with a positive outlook and recalibrated goals for the future.

Same as stated, plus the what’s next document had info for 401k, COBRA, info on pretax benefits e.g commuter, parking, resources for mental health and resources from NYC sites for help with food, rent, outplacement help with resume, job searching, reminder to change address to ensure year end W2 & 1095 gets mailed to the correct address.

Unfortunately, we too have had some terms for performance. Virtual ones handled over Teams as with others. We either ship personal effects or meet outside of the building to make an exchange of personal and company equipment, if safe to do so. We may also send a shipment label to return company equipment. It is certainly less than ideal and not how you want to handle such sensitive matters. But, this is our world at the present.

Just got laid off and I-94 is expiring on August 5th (based on my passport’s expiry date). I have a new passport and it looks like I’d have to file for Form I-539 to extend the I-94 and avoid being out of status. Can anyone confirm if this is the case? Filing fee is pretty expensive so just want to make sure it’s correct. Thanks!
