ALWAYS have a list of tasks you can take care of. Then, pick the easiest one at the time you are feeling less motivated and put your head down and complete it - or do as much as you can until your next appointment.
Psychology has proven that motivation does not proceed action - action begets motivation and the more you act, the more motivated you become. Also, by having the list, you can cross (and I do mean run a line through the task) it off your list and it feels so good when you feel like you've accomplished something.
If you’re anything like me, part of why it’s hard to be motivated in those interim periods is because you know you’ll have to stop in the middle and that’s frustrating. If you can identify why you’re procrastinating you can come up with strategies to resolve it.
One thing that helps me is to have a timer that I set and only work during that timeframe. So if I have 30 minutes, I’ll set a 25 minute timer to start something else, make a note to myself about where I left off, and then spend 5 mins prepping for the next activity.
I usually try to take care of smaller administrative tasks when I have short blocks between meetings.
