Google drive, google calendar, and a white board

9, 7, 4 and a new born (currently on mat leave). My 9 year old is amazingly helpful. He has a long morning checklist on the board including packing his snack for school, turning off the house alarm, setting the table for breakfast. My 7 year old girl can read but she gets so distracted. She has forgotten her school snack quite a few times and we no longer fix this for her (before I would forget the snack and have to drive back to school to take it to her, now it is her responsibility). My husband implemented this whiteboard morning checklist system and it is so wonderful. On the other side of the board we have the weekend and after school activities. Only for the kids: Mathnasium, swimming (x3 since there are 3 kids swimming), etc.

We have a Google calendar we share.
We put in anything that truly effects the other. Like if my husband will work late or we have activities or we make plans with friends, etc. We both maintain it / put anything relevant in it / follow it for guidance day by day.
We also use AnyList app, and share the major lists. Grocery (connected to Alexa so we add as we need things), non grocery shopping, and a to do list with categories (house/children research/etc) I LOVE the app. It is also where we keep all recipes. They have a great import feature. You can also use it for meal planning.
I use the reminders app… I don’t like the alarms I get for my calendar items so I put a list in here that is nothing but my weekly work meetings (I forget them often). I also have a very short to do list in here- just for my day- like my top 3 things I want to do that day (call oil company, pay bill).
Then we have a Google sheet of our meal plans. We have 6 weeks of meal plans completed and we simply rotate them. Ie Week 1 is always the same 3 meals but it’s only every 6 weeks so doesn’t feel boring. Once we solidified it all, I added it to our AnyList app so I just select WEEK 1 and “add all ingredients to shopping list” … it’s so damn easy and life changing. but when I was pulling it all together it needed to be in Google first

Omg you might be my hero. How much did your husband participate in this?! How much time do you spend enabling this system on a weekly basis?

And how do you do your google calendar - do you do layers for individual people? Color coding? Do you add in your work conflicts? How do you get your husbands to engage?
Husband and I have a shared email address that we use when we signup for anything kid related.
We also have a shared google calendar. Most kid sports are run from like Team Snap and you can sync to your google calendar. We yell at each other to put stuff on the calendar so now we’re both good about everything (not just kids but personal things like dentist, haircut, and house stuff like ac guy, generator guy, etc). Whenever we get into a disagreement about who has to watch the kids because of conflicting schedules or something the person who says “I put it on the calendar!” always wins :)
we also have a white board in the kitchen. It’s helpful to the babysitter to know what is going on that week
