With budgets and timelines getting squashed on the regular, I’m finding it more and more frustrating to have to triple bid with some projects with production budgets under 250K. How are you all feeling about this? I feel like it’s straining my relationships and so labor intensive on the treatment side.

Incredible waste of time and money when you have to spend 2 weeks triple bidding a tight budget project, when that time could have gone towards prep. And more prep time on a tight budget allows for creative problem solving to help stretch the budget .

I convince my team to get the client to sign a Single Bid Exception Form for the reasons of time and money. Really helps especially if you go back to the previous production company. It can be done. Harder with automotive and government accounts.

A form you make up. Basically describing the job and why it makes sense to skip the triple bid process. Talk to your agency.

I have advised against triple bidding recently for time constraints and the clients were totally understanding and ok with it. Depending on client, doesn’t hurt to ask.

If the timeline is crushed, I let them know that we unfortunately will not be able to triple bid in the time needed. We will have to push out delivery dates or get a waiver to bid one. I have had luck with this about 90% of the time

I was recently asked to TRIPLE BID a job for $125k all in. My EP and I had to have such an embarrassing call with the agency to explain why that’s not really a thing. I’m always more than happy to take the time to educate people about what’s standard and such when it’s helpful but ahhhhhhhh.

Depends on the creative work but I feel a triple bid at least covers you with options, and helps you get the best creative work made. But on the smaller projects the risk is likely smaller and thus a double bid could be enough. But you can also always go to clients and ask them to offer a small treatment fee as a token/gesture. And go for more up and coming directors with these budgets to help them improve their reels as well.

I have worked on brand side for about a year now, and I only double bid once, otherwise i only bid one company pretty much every other time. Sometimes it’s due to our limited approved vendor list, and sometimes it’s a low budget or timeline. Oftentimes though the concept is half-baked and we try to work with a production company that can navigate that uncertainty with us and pivot once we finally lock down a concept or approach.

It’s kinda nice to not waste a production teams’ time, but our limited vendor list is a problem that we need to work on or our creative is going to look the same all the time.

This and the pressure from parent co legal to not disclose budget to bidders to comply with fair bidding practices. We often provide a range, but on budget challenges jobs bidder inevitably bid over the range in a competitive bid scenario. If it’s a single bid they’re more likely to hit that target from the jump. In most of these instances, we’re backing into a budget then have to ask for huge discounts to hit the number. We use the DOJ fair bidding practices as another reason to push for single bid waivers that clients tend to understand. But for many it’s beyond the day to day clients control and in the hands of procurement who views production the same as copiers and the agency in the middle trying to make it happen in a week’s time…

After the DOJ investigation into holding companies in 2018, they shared our best practices with our Head of BA. It included not disclosing bidders and not sharing budgets. Two things that are often hard to do, but we try to uphold. Reps usually talk so they find out that way which takes the burden from agency and budget ranges vs hitting a number have helped guide bidders. I’d get with your BA to see if they have any guidance here.

Horror story … first - I have 17 years of experience. I’m freelance. I know what I’m doing.

Second - my last job asked me to triple bid a 2 day photo & video library shoot w 4 locations and 6 talent with a budget of $75k.

Not $75k a day. $75k total.

It was embarrassing bidding process. The incumbent photographer who has been doing this project as a favor backed out (obviously). I barely got him back.

We went over the travel budget by $1,500 when the agency decided to send more people. I was criticized for it.

This was for a large agency on a huge brand.

The work turned out beautiful because I’m great at what I do. I’m actively searching for a new clients. I’d love to be booked when they call me again.

Ok so generally what do we all agree upon is the minimum amount that should be (or benefits from) being triple bid?

If a known brand is offering less than $150k for a one day location shoot (not including post or talent), then don’t triple bid. My 2 cents.

Recently we advised the client of the additional time of staff required for a triple bid, from producer/creative/account, and they still wanted it so they signed a $20k overage to the scope of work.

I hate it too, but it’s also additional work the clients want you to do. Good business to do it sometimes.

I don’t triple bid anything under 100K. I may ask for a few pages of a treatment, but if it’s straight up production services I just hire someone.

you should discuss a couple of solutions to your HOP: 1. see if client SOW can include a clause allowing single bid for jobs under a certain threshold 2. see if client SOW can include a clause for single bid if jobs have schedule limits. this likely needs to be tied to a number of weeks/days.

Literally having this happen right now on a 360 project with multiple triple bids needing to happen on multiple different work streams for the same project. We’re on the same page production/creative side that it’s madness but client DGF and still want everything on an accelerated timeline 🙄

Assuming this discussion is relating to live action productions, how is everyone seeing this play out with animation? Have you been able to convince clients to single bid for this type of work?

Multicultural markets in the US are routinely having to triple or quadruple bid $75k, $90k, $110k jobs. It’s draining.

I have account management and client sign a triple bid waiver form stating the reasons A production had to be single bid. Keep a copy in the job folder. Six months to a year down the road when the accountants/bean counters question why the job wasn't triple bid, You'll be the one they come to for answers.
