The issue occurred because the laptop warranty does not cover physical or liquid damage. The repair quotation was provided by the laptop brand (HP, Dell, or similar).
What you should do is send a justification email to the IT and Finance departments, with your Line Manager (LM) and Project Manager (PM) in CC. Additionally, schedule a one-on-one (in-person or virtual) meeting with your LM/PM to clearly explain that the damage was unintentional and purely coincidental. Be honest and professional—do not plead, just communicate the facts confidently.
Also, inquire about laptop insurance — companies often purchase extended insurance (3–4 years) that covers physical and liquid damage. If the damage falls under this insurance, you won't need to pay anything. However, the repair process may take up to a month due to internal approvals by the Finance team and IT department, as they must coordinate with the vendor to order parts and process payments.
Keep all emails, photos, videos, and documents related to the damage safely stored until your full and final (FNF) settlement. Sometimes, companies deduct this amount from FNF unless the issue is clearly resolved.
So don’t stress—focus on professionally justifying the incident and confirming if the damage is covered by insurance. Once your LM/PM understands the situation, they’ll communicate with IT and Finance on your behalf. If everything is in order, the repair will be arranged at no personal cost. Usually, the company simply wants to raise awareness about the importance of handling IT assets with care.
Also, kindly request the replacement or allocation of an alternate laptop on a priority basis, so that you can continue your work without impacting project delivery or causing any production delays.
Additionally, please ask the IT team to ensure that all your data is securely backed up and transferred to the replacement laptop, and that no data is deleted during the process to avoid any loss of important files or configurations.

If this 20% co-payment gives you a brand-new laptop or full part replacement, it's actually a great deal.

If the liquid has reached the motherboard area, then unfortunately, the laptop is unlikely to function — this isn’t like a mobile device. The only practical step now is to provide a clear, professional justification and inquire about whether the damage can be covered under the company's insurance policy, so that you don’t incur any personal cost.

In many companies, internal employees face such incidents, and if not properly addressed, the cost is often recovered from them later, usually during Full and Final (FNF) settlement.
In MNCs, each department works under its own budget. Cases like this typically fall under the scope of the IT and Finance departments. Just ensure your Line Manager (LM) or Project Manager (PM) is kept fully informed, and let them communicate on your behalf with the concerned teams. In most cases, the cost is either:
Covered by the project budget, or
Handled under extended laptop insurance, since many companies purchase 3–4 years of coverage to include accidental or liquid damage.
