Bring some possible solutions.
Agree with SC1. If you can identify solutions and changes to alleviate your frustrations, and discuss those, rather than what bugs you, you’re more likely to gain a listening ear and actually achieve that change.
It is also important to start with yourself - what would YOU want to do differently, how would YOU deal with that particular process, etc., as opposed to pointing at others and external factors and demand that “they” and “that” change - if you’re empowered to change yourself, which is easier to achieve than asking the house to change, the external elements will slowly but surely change with you.
TBWA 1 hit the nail on the head. Can also recommend “Crucial Conversations” - it’s a quick read and it literally changed my career.
Present it as factually and emotionless as possible if you don’t want to be dismissed as “just venting."
Write a list ahead of time and think of what you want from the boss/company in order to make this frustrations lessen - do not walk in and just vent
Talk about what you want to do/achieve and how the things that are “frustrations” are standing in your way. Make it clear that you are hungry to work hard, do more, learn, grow, whatever — and that you’re not just a complainer. No boss wants to hear whining.
Never bring up a problem unless you have a solution in mind-otherwise you come off like a whiner. Even if your solution sucks, it could get your boss to brainstorm something better with you.
Thanks for all the great suggestions and help! I had a super productive conversation with my boss and outline clear steps moving forward to avoid certain situations. It really helped being prepared with solutions and, as weird as it sounds, centering the conversation around my role. I'm very thankful for all you fish! 🐠

first and foremost, let’s understand that the objective of this sync should be solution focused and not just venting. try to make it sound like ‘opportunities to become better, you and team’.
recommended format when approaching or addressing frustrations: [would like to explore *solution* in order to avoid *frustration*. kindly explain how will that will positively affect the end product and we can all live happily ever after. ask your manager for thoughts and be receptive of his feedback and recos.]
also, for better results i recommended you guys keep this as a recurrent gut-check and also a log listing action items, solutions agreed on, and progress. good luck! 🍀

I would frame what you say as “I feel” - they can’t disagree with that. And ultimately if your boss is anyway good they are empathetic and want to make sure you “feel” happy and help change things
Tie it back to how the frustrations or issues impact x, y, z (efficiencies, productivity, etc.). Good luck!

Kudos to your boss for wanting to listen about what your frustrated about...possibly willing to help/make changes to help the situation. Agreed with previous comments about writing a list and trying to make reasons more quantitative rather than all "feelings"/emotion. Why are you frustrated? Maybe we can help articulate specifics if you're struggling.

Agree with you need to bring solutions. Ultimately you should be there to make your boss’s life easier and making them look good.
Explain how you’ve tried to solve/overcome the frustrations. Ask for the authority to solve or for solutions.
