Be consistent in whatever you decide to do. Year, date, and what it is. Logical hierarchy, you don’t need a specialty folder for every single file, but having some umbrella ones helps a lot. Tracking version numbers. And once again, staying consistent with new things!
I totally get that struggle! Start by keeping it simple and consistent.. maybe use categories like date, project, or document type. For example, "YYYY-MM-DD_ProjectName_DocumentType" can help keep things neat. And make sure everyone’s on the same page about the system to avoid chaos later!
I’m always a fan of YYYY-MM-DD. It’s the most logical because it always sorts things correctly and is internally consistent - from most significant to least significant within each group and from most significant to least significant among groups.
Year-project/entity-then sub folders (depreciation, return support, etc.). Above all, be consistent and save old versions of files using a SS or something folder
I have my folder in this order:
Client Name > Permanent Files Folder + Year > then subfolders like Statements, Financials, Tax, etc.
Try to stay consistent with folders and please name your files. I see so many people just drop pdfs with random names, and it takes so much time to find specific document. Above suggestions to use yyyy-mm-did is very good.
Is this for in file explorer or in a software like CCH? Because that plays a big difference in how it is able to be organized

I think the most important rule is to always name folders something that actually describes what’s in the folder. If someone has to open the folder to figure out what files are there, then you’ve named them poorly. This sounds obvious but you’d be shocked how often people use folder names that are completely meaningless.
