Hello! I created a tool to help save time when scheduling across many time zones: EAbuddy.com. It constructs an email with fully-formatted time zones, based on the locations of the people in your meeting.
It also suggests appropriate time windows considering the time zones of everyone in your meeting. Similar to timeanddate.com but it lets you skip the manual step of typing out the converted times and dates into a message. Has saved me tons of time, so I hope it helps you as well!

So with our company we have access to everyone’s calendars. So the first thing I do is check to find mutual availability and schedule. If I can’t find time then I would reach out their AA individually and find some mutual time. If these other execs are outside of the company most definitely individual emails
We need this where I work!
I send a mass email with the AA/EAs in bcc with a request for availability. Easier to keep track and only have to send one email. Then align my person with the provided availability.
Send individual emails asking for windows of availability over the next x amount of days. Start with the most senior person and then request the next persons availability based on the one before.
Execs often block most or some of their calendar views. When that’s not an option, sometimes I’ll work with the Admin(s) who have the most difficult/complex calendars or who support the top ranking person to help narrow down options and offer that as availability. I’ll send that in an email to the group + AAs to assist with coordination and so they understand the details and priority of the Mtng.
Personally I’ve found phone calls work better If you’re looking for recurring 1:1s. What can take days over email can be accomplished in 20 minutes or less on the phone.
Agreed!!! It know this is an unpopular opinion with younger people, but this is true!
