I’m not a CEO but the CCO of an investment firm that runs 4 departments. It’s hard and I’m in the same boat trying to be structured but also having flexibility to drop things in case of an emergency. I have set meetings with different departments to see how projects are going, any escalations or big issues. Luckily I can trust my directors to run their teams appropriately. But things pop up every day that interferes with my set structure and my biggest challenge is getting other departments to fix their issues because their C suite and their directors don’t do their jobs.
My current approach is admittedly random and unstructured...time blocks for certain projects like weekly sales mtg, weekly finance mtg, weekly marketing mtg, etc.) and check emails periodically each day. Feels like it needs more structure and intent.
I strategically allocate time on my calendar while remaining flexible & adaptable to daily needs.
I pick 3 tasks that are the most vital everyday and complete them first then block in time for everything else and nothing else but fire get worked on til those 3 tasks are completed. Everyday 3 of the most important get done first as far as I can take them for that day. Then whatever gets in line after that gets done in a priority fashion.

I’ve tried time-blocking, making prioritized to-do lists, etc. but I still find that I work best when I give myself choice for what I want to work on in that moment.
