Can I suggest reviewing the last roadshow files, particularly the final meeting discussing what worked well & what didn’t
If you can, meet with one of the planners & also meet with key attendees & get their feedback, budgeting issues, what costs blew out & how they salvaged it. Ask if there were any other issues specific to this roadshow - accommodation run out early, other partner organisations & who shone, etc
I have done many roadshows. I was fortunate enough to attend all these roadshows. The best advice I can give you is to make sure you know all the players, names, addresses emails, etc., keep track of everything (emails, conversations) and have the best open communications you have with your partners. I kept a file folder for every city he attended. Within that city, I have tabs of all the companies he is having meetings with including and all backup documentation. Four times I did not attend. I made it a priority to know my counterpart EA’s at these offices because they will be your best eyes and ears and will have your back when something happens. Something always happens!
A roadshow? I’ve planned and set up several home shows. But they were all local. Is that what you’re talking about?
