Hi all! Need advise. I am extremely burnt out. I hate my job, I get no support, and I keep on getting more stuff added on my plate (project management, change management, development, testing and help desk work) when I keep on saying I am over capacity. How do I tell my manager this in a way where they will understand and help? I have told them what I stated above multiple times(expect the hating job part lol) and it still gets no results.

When something new gets added as priority, take your top ones which you are already working on and ask them which one can be pushed to a lower priority to accommodate the new item.
And if they cannot be lowered then this new item gets assigned lower priority. When they see it in that context and in writing, it might sink in better.

Why don't you show your manager your calendar and/or list of projects and explain the time commitment for each - sometimes managers are really not on top of everything we have gong on. you can also, in addition, simply choose to prioritize certain projects over others and tell your boss that is how you need to proceed in order to get things done.

like

And sometimes you just have to say no, you cannot get to it now. And then don't do it.

I would tell your manager flat out that you can NOT take on any more work tasks, that you have told them previously that you are over capacity and that you haven't been listened too. Tell them that if you take on any more work that you will not be able to get any work done and your whole workload will suffer and that you are not about to do that to yourself or to the company. There is nothing wrong with saying no.

Leave unless you still want to work for the company. Sometime running away is smarter when it comes down to your own mental health.

I understand people recommend you to say no, but I guess you've tried many times. If that's the case it's not so bad to use the card and find a new place where people truly appreciate you.

++ What others said.

I have had an unsupportive manager a few times. My tactic for this type of manager is to tell rather than ask… manage upward.

I send an email once a week with my to-do list and tell my manager these were in priority order. I tell them that I was being transparent and keeping them updated.

Then I would work 40 hours. And I would tell myself that I only had 3 things to work on. The rest of my prioritized list would never get done.

And when my manager asked about a task, I would reply to my original email and show the task was item 20.

like

Say no and do not complete the task. If you have any issues with Manager, go straight to HR and show them how many times you have said no.
Saying no doesn’t mean anything if you continue to accept and complete work.

Wow, this is a ton to take on so I feel your pain. For me, what helped with stress management is asking for one on ones to ensure all my managers and I were on the same page. It's not worth losing your mind if you aren't getting paid more than your existing salary.

like

I started doing a journal of all the things I do in a single day. If they ever ask, it's there for them so see. Sometimes I add the time it took as well
When you have that ready, it changes your mind as to why you cannot take it. Bc when they ask "why can't you", you have a list to read from. Maybe it will help you too 🙂

All valid points here. My suggestion would be start documenting your conversation via chat or polite emails. This helps formalise your feedback and your capacity issues.

If you wish to stay there, I’d recommend creating a robust prioritization method and provide clarity on the priorities of the tasks, projects, initiatives on a roadmap. It helps if you turn all values and costs in dollar values and tie them back to the company’s goals.

Why is it assumed PMs are responsible for scheduling all meetings and taking notes? When did this happen? I was responsible for providing a recap of meetings in the sense of next steps, not in depth notes on the conversation. As for scheduling meetings, I was responsible for scheduling the milestone meetings (kick offs, internal reviews, post mortems, status meetings that I led), I did not schedule the team reviews (CD reviews with ADs/CWs), client meetings, etc. Comments?
