I’m new to covering as a Teacher in Sped in Washington State.I just started online College to get a BA in Elementary Education.I have been a Para in Sped for 7yrs & 7 months now.My Teaching will start on August 24,2022.I know nothing about the paperwork or to set up curriculum for the kids.We deal with Preschool to 8th grade.Some Head Start kids which are 3yrs old to 4yrs old.I am kinda on my own for curriculum. Our kids do a lot on laptops for Reading,Math,and some writing.They use to journals.

I have done that. It is efficient. The only problem is that sometimes things come up and meetings have to be rescheduled. It is great for managing your work load .
In august, we go through as a Sped team and tentatively schedule all meetings— academic, behavior, speech.. so nothing overlaps that shouldn’t & we’re all on the same page. Such a lifesaver! We don’t contact parents until a month or so before.

However, we were not required to complete the phone call snd complete calendaring the date. Admin assigned staff to complete this component.
Our case manager handles the scheduling for Sped.
I am the case manager for 20-25 students in M/M, teacher, IEP clerk scheduling meetings, tracking down parents/interested parties, meeting facilitator, note taker, and somehow, I need to observe, contact other teachers for progress on goals quarterly, document benchmarks, write new IEP, AND somehow still teach 5 classes per day with up to 20+ students with one prep period. My classification was just changed by HR from RSP to Special Ed teacher. I am neither. I am a TEACHER who supports students serviced through the special education department and my degree states that I am an Education Specialist! Federal law states the special education is a SERVICE not a place. If this is the law, then we do not have sped classes, sped teachers, or sped students. We DO have classes and teachers who support students. We need to remove labels! Sorry guys, this is my pet peeve, and I am into MY second week of summer "vacation" still catching up on IEP documentation. It is 7am and I need to get back to writing IEPs and tracking down parents for their signatures or signatures! Have a great day....
Since March of last year, we have had to schedule zoom IEP Mtgs. I have had 100% participation. It has worked very well. We had to amend all of our IEP’s in the fall because we switched from an AB 8 block,alternating days to a true 4X4 schedule. Our division required we do this the first month of school. We had to amend them all the last month because we are going back to an AB 8 class schedule for 2021-22 school year. So yes, I’ve had to do 3 mtgs( at a minimum) for each student on my caseload. I said this year has been memorable as the year of the IEP.

Agreed, I think (hope) in-person IEP meetings will be a thing of the past at my school site. DocuSign is terrific - convenient and secure, and we’ve saved so much paper in not printing IEPs that I’m sure it has paid for itself.
How can you schedule meetings for students you don't know and haven't baselines? Especially after the pandemic?
Do as much as you can and CYA by noting that insufficient time has been available for accurate baselines due to the pandemic.
Yes I did schedule them during the first month. Each meeting was scheduled in order in which they were due and I scheduled one a week until I was done….it made room to reschedule when needed and I was done with my caseload in February
Be this the case where would correct data come from being we are just in the beginning stages of school? Maybe I’m saying that wrong

Yes, it works well for me. I usually ask parents the dates and time s they prefer on back-to-school night and then calendar them for the entire year. One month before they’re due, I remind parents and send out conference notices to finalize the dates.
Yes. It was the best thing I did. Had them all on the school calendar. Did the google invites. Parents appreciated such advance notice.
We have all the special ed teachers, DIS providers, and school psych meet before school starts to schedule all of our meetings for the year. Obviously initials and parent requested meetings pop up but this really helps having a calendar with all the dates (including dates to send home paperwork) helps.
Have attempted to do so - did accomplish it within 2 1/2 months. Works well as long as you really know your kids.
So if you do them right away in the beginning of the year, is there someone there besides the parents who know the student? It’s not a bad idea but most of my students are only with me one year.
Yes, the full sped team gets together on the second teacher work day before school starts and we schedule out all the IEP'S. The school psychologist pulls the upcoming IEP'S for the year and we start to schedule by due dates, starting with Triennials, then annuals. This allows for all IEP to be scheduled before school starts. All teachers then have 7 days to in put the meeting in our scheduling system.
The school psych, speech therapist, and I (RSP teacher) get together during the first work week to schedule all Annual, Triennial, and any Initial IEP meetings through December. We meet again in December to schedule the remainder of meetings through the rest of the school year. We notify parents about 30 days prior, and of course meetings need to be rescheduled for a variety of reasons. It’s overwhelming for me at first, but nice to have all IEP meetings tentatively scheduled. 😊
I do it so that the admin has me written in for that day. Of course there’s always a few that need to be rescheduled, but it’s all taken care of for the whole year.
Just make sure you get on the scheduling list first; the lower you are meeting with your team to schedule, then the calendar gets filled up and you are scrambling to find a date. Have said that, I cannot see a more efficient way to start off the new year than to have a plan. Another help for me was I was taught to start updating your IEPs during the summer. JUST DON'T PUT IN THE DATES, AS THEN IT SHOWS AS AN ERROR WHEN THEY REVIEW YOUR CASRELOAD! The most important thing we can do is take a real vacation from our caseloads. Yes do it. If someone can't attend and the meeting needs to be rescheduled then it's not on you.
Our sped coordinator did that last year except they weren't scheduled in the 1st month. We had all our IEP meetings done by at least Oct. I liked it better for when we had initial eligibilities or reevaluations.
