Hi! I just started at a civil insurance defense firm and new to billing. Seeking tips on effective billing strategies. Any advice from experienced professionals would be appreciated!

Bill what you did, how much you did if you can quantify to a measurable amount (like drafting 5 pages, 20 discovery responses, evaluating 100 pages of records), why you did it, and the authority/application/strategy requiring or moving the case strategy forward. Learn how to capture thinking time as much as drafting time, which is tough. 0.1s add up. Bill everyday, don’t leave it until the end of the month. Do nothing work related for free, because you’re already going to be challenged on your entries, so don’t self-cut time. Avoid works like this”summarize, revise, compile” or words that may seem like admin or not covered in the billing guidelines. Billing is an art form and it sucks, so do everything you can to make it suck less.

Read and reread the billing guidelines. And require all other timekeepers and accounting people to do the same. Promptly submit bills in the exact way the guidelines require. Deal with appeals of write offs immediately.

Feel like audit scheduling is always done on a knifes edge in that the timeline and staff schedules are enough so that if everyone works 60 hour weeks and no issues are identified then it can be filed on time. But even small things that increase the work can wildly throw off the schedule and cause hours to skyrocket for the staff on the job. No real point here, just ranting.

It may seem obvious, but in my experience partners value trial experience over anything else, so get it however you can. For example, my firm will favor a former prosecutor who has seen the courtroom a lot but has no civil litigation experience (not even a depo) over a seasoned associate who has only second chaired cases with a partner but hasn’t tried a case. Even trying a case and losing gives you credibility at my firm because you still did it.

When drafting a brief or other submissions for court or arbitration, do you use words such as clearly, erroneously, etc. to emphasize certain points? Our managing partner says that we should, but all of the writing guides for litigators that I've read repeats the mantra "show, don't tell" and explain that most judges dread such words.

I know that the politically correct thing to do here is to do whatever the managing partner wants me to do, but I just wanted to ask for other ppl's opinion.

How am I expected to bill 1900 hours when I only have 8 cases and when I ask for work no one responds. I even asked the partner in person for work and he said he was slow and didn’t have anything for me.This month I’ve only billed 80 hrs. Its making me anxious because I don’t want to get fired for low hours but also I’m a first year so will they have some mercy on me? Lol

Does anyone work at a firm where legal assistants don't do legal assistant things? For example, I have to do my scheduling and calendaring. I have to upload documents to our file management system. This morning, a name partners assistant didn't realize the name partner had a depo and didn't confirm it. This is how this firm as been for decades and it's incredibly frustrating to work this way. It's so hard to not stress over this daily.
