What kind of work are you doing? Maybe consider using a virtual Kanban board tool like Trello or MS Planner to make work highly visible. That way everyone stays aligned because there is a single source of truth for project work that’s updated frequently
As long as the works being done just check in on them what's working what's not working etc
Weekly stand up meetings have always been my default. Sounds like you'll have to do those virtually unless you can get your in-office people on camera in a meeting room and put the rest of the team up on the projector. I also think some kind of LMS app that makes communication easy across the team
Morning 15 minute check in meetings and again at 2 pm in the afternoon. M - F. Check out Scrum, Kanban and Agile teams.
Leading a hybrid team can be challenging. Especially post covid, but there are several strategies you can implement to keep everyone engaged and aligned:
1. Establish Clear Communication Channels
Use tools like Slack, Microsoft Teams, or Zoom to keep communication consistent.
Set expectations on response times and availability to ensure everyone knows when and how to reach out.
2. Regular Check-ins
Schedule weekly or bi-weekly team meetings to share updates, align on goals, and address any challenges.
Consider having one-on-one check-ins to understand individual needs and concerns, especially with remote members.
3. Foster Team Collaboration
Utilize collaborative tools like Trello, Asana, or Miro for project management and brainstorming.
Create opportunities for cross-functional collaboration to ensure everyone feels part of the team.
4. Promote a Sense of Inclusion
In meetings, actively encourage input from both in-office and remote team members.
Rotate meeting facilitators to give everyone a chance to lead discussions and increase engagement.
5. Utilize Video Calls for Key Meetings
Whenever possible, use video for important meetings. Seeing each other helps build rapport and maintain a connection.
Keep these calls interactive with Q&A sessions, polls, or breakout rooms.
6. Focus on Clear Goals and KPIs
Align the team on common objectives and key performance indicators (KPIs). Make sure everyone understands their role in achieving the team's goals.
Regularly track progress and celebrate milestones together.
7. Encourage Social Interaction
Plan virtual coffee breaks or team-building activities to help remote members connect with in-office colleagues.
If possible, organize occasional in-person gatherings to strengthen relationships.
8. Provide Flexibility and Support
Be mindful of different time zones and work preferences. Allow flexibility where possible.
Check in on their well-being and offer support, showing that you value their contributions.
By implementing a mix of these strategies, you can enhance communication, strengthen team relationships, and keep everyone aligned toward shared goals.
All the best and do report back on what's worked/not worked for your senario.
Smart ideas and completely agree.
I would also add for my team it has been crucial for twice a year in person gatherings. Most of us are based in Chicago and a few sprinkled across the globe. Twice a year we have a week long “summit” to gather and be in person. It’s a lot to ask of people but we constantly receive feedback that it’s great to connect face to face and spend extra time socializing outside of work. Most of the week is spent in professional development, dinners, happy hour, events, etc.
My team has done it's best work post-COVID as a remote team. You may need to directly engage with your team members if they are not naturally motivated. Talk to them about how AWESOME it is to work remotely vs. in office. Help them be grateful for the opportunity. Schedule meetings as needed for project deadlines. Push where you need to but also help your team realize how lucky they are to work remotely.
My team have daily morning 'huddle' for 15 minutes max. Using Teams. Video on.
We are on Agile and scrum, not in Sprint though, so we look at and catch-up re: our ticketing Dashboard daily (we're using Jira for Dashboard).
That'd give you and everyone clarity and accountability.
