Well… did you? Seems like a pretty big mistake so if your response to this is “why didn’t you notice” that isn’t going to play well.
I'm the accounting manager at our place. I run a workplace where people work hard but don't live in fear of making mistakes. Tone at the top is everything.
Does your GL not log who is posting entries and when?
…….did she blame something that you didn’t do on you or did she identify an error that you made to your mutual manager?
If you posted them just apologize to your colleague, thank her for catching the mistake, and move on. Don’t beat yourself up but learn from your mistake.
Please explain who posted the entry twice. Was it you or her?
It’s her 😅
Mistakes happen 🤷🏻♂️
I think you should meet her and discuss it out rather than avoiding her. Avoiding her is not the real solution as it would affect your work relationships with her and badly affects your team performance.
People don't notice stuff being posted to the gl until some one after the fact starts looking at the coding.
That’s a tough situation, I’m sorry you had to deal with that. In most ERP systems like SAP, once entries are posted to the GL, there are clear logs showing who posted what, when, and how many times. So your manager should be able to verify exactly who did what by checking the document history or audit trail — it’s not just based on someone’s word.
As for how she didn’t notice, sometimes people just don’t review their own work closely, or they don’t take responsibility for it when things go wrong.
To protect yourself going forward:
Document your work: Keep a simple log of what you post each day — document numbers, amounts, and who requested the posting.
Communicate clearly: If you’re posting something on someone else’s behalf, confirm it in writing (email or Teams) so there’s no confusion.
Ask for clarity on roles: If your team doesn’t already have a clear process, suggest adding simple cross-checks or sign-offs before posting.
Stay professional: If this happens again, don’t engage in blame games — stick to the facts and let the system logs speak for you.
And if you can, keep your manager in the loop when things like this come up — it shows you’re taking accountability for your own work and care about doing it right.
Hope this helps!
Well, since you were the one who double-posted, it is your mistake. She's not wrong. Whenever, and I do mean everytime, you need to check the accounts you are hitting to ensure you've posted correctly. You would have seen this had you checked after posting and could have reversed one of them to correct your error.
Next time, check your work after you've posted.
Personally mistakes happen I don’t feel like that’s the big deal. For me, The big deal would be her trying to throw you under the bus to your manager. Instead of her coming to you and having a discussion about it she chose to make you look bad to your manager. I have zero tolerance for shady backstabbers. Just my thoughts
Everyone has a nemesis at their job whether they know it or not. Lol. If you know who it is, you're ahead of the game. She needs to play chess. Stay cool and calm as possible. Believe it or not, work snitches are not liked at all. Let her keep tattling. I have been in corporate for years. Kiss asses never won if u ignore them. If you start fighting back, then you put the spotlight on yourself. Just pretend like she doesn't exist.
As the reviewer/ poster of their entries, shouldn't you be the person checking the results to make sure the ledger is correct? Or at least that it's a valid entry that needs to be made? If you are just a button pusher posting any ol' thing, you're defeating the purpose of a two person system 🤦🏼♀️
It's still partially on them for making a duplicate entry, but sounds like you need to hold yourself accountable for your part too.
There should be an audit trail on the system
Usually manual journal entries have a 2 person process (prep/reviewer) but normal module posting does not. It is possible this was posted and processed twice within the module. Not everyone checks to see if something was already posted.
Always email her when you post it
Did this person submit duplicate entries and you approve them? As someone who submits entries I know that would be my fault. I hope your manager has your back. I would suggest to your manager to come up with a monthly checklist of the entries that have to be made and list the Journal entry number that was submitted for it.
I am someone who believes you should immediately own up for mistakes when they happen and not make excuses. One benefit is that it gives you credibility when mistakes are not your fault. I'm a little unclear what happened, but it probably comes down to having a conversation with your manager and/or the coworker to make sure it doesn't happen again.
Usually the system audit who login in and who logged out. Wouldnt the system pick up if you are entering/posting something twice, it should send you a message that entry was posted already to avoid duplicate . Can she also posted the entry to the GL account as well. If she is blaming you for her mistake, she is not to be trusted and keep everything documented.
Y’all should have a checklist in place. Also the reviewer/manager should have noticed this before posting the entries.
