For a while, I was basically juggling the workload of 5 people, and every time I brought it up, management would just brush it off or say we were “fine”. I was pretty much documenting everything-literally tracking the hours spent on each task and showing how much was falling through the cracks or getting delayed. It didn’t fix things overnight, but it gave me concrete evidence to push back with. I also started setting firmer boundaries and making it clear what could realistically get done in a day. Sometimes, you just have to protect your own well-being because, unfortunately, some companies won’t do it for you.
One thing I’ve learned is that being understaffed often isn’t about headcount, it’s about misaligned priorities. I’ve seen teams with fewer people run smoother because leadership actually protects their focus. When everyone’s doing “a bit of everything,” nothing gets done well, and burnout creeps in fast.
Here's what I did: I spent an entire week tracking every single hour of my day. I showed what I was spending my time on and how much time it was taking. After that week, I took it to my manager and I showed her what was taking the most time and what I'm not able to get done within my standard workday. I explained to her how much time each task needs and how many of them I have. When I was just telling them, "I'm doing too much," they didn't believe me until I actually showed them the data and they could see with their eyes exactly what was being required and why it was too much for one person. I think a lot of management is primed into thinking that employees are just complaining or being lazy, but that's usually not the case. It helped and I was able to get some of my tasks reassigned based on this "show, not tell" approach.
I actually just picked this up! Whenever somebody asks you to take on something extra you ask which task should get the priority? Basically what do you want me to fall behind on because it isn’t going to work out for everything. You can also do it with what you have going on already.
In the current market, unfortunately this is going to be a “do the job or go somewhere else if you don’t like it” situation.
