If you were like me, the paper helped organize tasks and what had to be done, so you need a new system to assist that process because there will no longer be a paper on your desk to remind you. I use to do lists and reminders in our system.
Use file folders just as you would organize papers on your desk. Ensure that you have a backup to your C: drive (your office server, for example, or that plus a cloud backup); this is important for a couple of reasons... first, in case you are incapacitated or out of position, a partner or associate can pick up the file just like it is a redwell, and a backup a few hours old can be restored if there is corruption or hacking. Check with your malpractice carrier about requirements they want for cloud backup security, obligations to notify clients of a data breach, etc. Check with state law too on privacy and data breaches.
Thanks for the tip about malpractice insurer and client notifications. Hadn’t thought about that. I am using folders for each matter and that is a life saver for me, the folders are my to do list and contain all my notes and some key docs, which all get scanned when the deal ends.
The conversion is easier than you might think. About 3 years ago, I made the decision to go paperless. For the majority of my thirty year career, I had the messiest office of all of the lawyers and a move required me to change that.
The first thing to consider is the use of one note and teams, which can mimic redweld tabs and folders. This way you can store all kinds of documents virtually but in a way that is highly intuitive.
Second, for note taking, consider using an iPad. Yes, you can actually write notes on ruled yellow legal pads and even email those notes to your files.
Third, take it slow. It is more about building upon good daily habits than being able to master the process all at once.
Disclose everything in your engagement letter.
