I like to think of things as small trash can fires, dumpster fires, or full on uncontrolled forest fires. Which would have the worst impact to me if I didn’t do it now? How many days/weeks do I have until this gets out of control? It gets a little easier once you start learning which things are truly urgent, who has power over you/the hierarchy of your most important clients and partners to ruin your day or livelihood, and which things are fake fire drills imposed by people who have little power over me for their own comfort level and egos. In the latter case, they can just be mad at me while I do what’s important.
If I can do something in under 5 minutes I try to do it then and there like moving emails to proper folders, quickly filling out a form once I finish a CLE, etc. Otherwise those little tasks add up and won’t get done and overwhelm me. For short tasks I don’t think about it just do it. If something will take longer that’s where my categorizing into different types of fires helps me. I’m far from perfect, but I think I’ve grown a lot doing this the past 2 or 3 years
This is helpful. I love the 5-minute rule and will be stealing it because I also tend to put those little things off until I forget or get overwhelmed
I use a website called asana. I’ve found it really helpful as I can organize tasks by due date, re-date things, add notes about what I’ve done and re-date for a future follow up, and whatnot
