I’m experiencing something like this now, in a new team that I’ve joined. Can’t say I have any solutions right now but one thing we’re doing is properly revisiting our roles and responsibilities, and the expectations we have of each other, to lay a new kind of foundation for how we work together.
Pro
Clear communication and finding the right balance of asking vs telling in a productive (as opposed to confrontational) manner.
It's important to have a team meeting so that responsibilities are delegated appropriately. It would be important to have follow up communication regarding the results of the meeting shared with stakeholders so that there is accountability when necessary.
Pro
It’s really, really hard but having a strong relationship with the person(s) whose responsibilities overlap with you is key
Roles and responsibilities is helpful if team members own parts from end to end.
Swim lane charts are great if there are multiple handoffs.
The book Business Models for Teams also has a great framework and exercises.
Well, technically my job should not have as much overlap as it does but I keep finding myself or being out in situations where I have to do tasks or take over projects from another department. Usually because someone else can’t or won’t do the task correctly or meet the deadline. Some people are happy to have me do their job for them others are bitter and think I am trying to make them look bad. I have to stop caring about what these people think.
This was one of the reasons I left a job. My team set brand guidelines as marketing/ PR kept ignoring them. There was always push back from other department heads in my organization to go over my head or a colleague to do as they pleased with branding so I unfortunately don’t have any good advice aside from follow your leaders’ direction. I got tired of being critiqued by my own team when we didnt even enforce our own brand guidelines outside of marketing.
Communication is key. Several of my team’s responsibilities overlap into different teams one way or another but we typically manage by having processes in place to discuss changes or report items that may interfere with the work others are doing.
This is tough. I've had this happen in roles before. Coordination and communication were key to dividing responsibilities.
