Chief of Staff & Assistant Secretary, Board of Trustee -The Chief of Staff serves as a key advisor, strategic partner, and executive support clearinghouse to the President, EVP & Provost, and Director of Finance, facilitating effective leadership and institutional operations. Duties include coordinating communication between the president’s office and other departments, managing high-priority projects, and ensuring alignment with CIM’s mission and goals. The COS oversees administrative processes, handles sensitive issues with discretion, and supports board relations, including preparing reports and agendas. Additionally, they may represent the president or provost in meetings, streamline decision-making, and foster collaboration across campus, acting as a liaison to faculty, staff, and external stakeholders.
The Chief of Staff must be creative and enjoy working independently on projects, from conception to completion; comfortable under pressure and able to handle a wide variety of activities and confidential matters with complete discretion.
Senior Management
Participate as a member of the President’s Counciland Provost’s Council, including planning for regular PC meetings.
Exercise good judgment and make both collaborative and independent decisions on the President’s behalf in a variety of situations, with exceptional written and verbal communication, administrative, and organizational skills, and the ability to prioritize andmaintainbalance among multiple, often competing priorities.
Work closely across the ExecutiveOfficers to prioritize engagement inand influence overdiscussions, decisions, events, and meetings that reinforce the goals andobjectivesof CIM’s executive officers andleveragethedifferent rolesto serve in their best capacities.
Represent CIM in select,discreetforumsaround The Circle and across Cleveland.
Serve as the senior executive assistant across the CIM enterprise as a counselor, advisor, mentor, collaborator, and role model.
Executive Support
Complete a broad variety of administrative tasks for theexecutive officersincluding:oversee themanagement ofan extremely active calendar of appointments;completeexpense reports; composeandprepareconfidentialcorrespondence; arrangecomplex and detailed travel plans, itineraries, and agendas; andanticipate,compileand/or interpret strategies for meetings, stewardship visits, and solicitation calls.
Plan,coordinateand ensurethatthe President’sschedule is followed and respected. Provide "gatekeeper" and "gateway" roles, creating win-win situations for direct access to the President’s time and office.
Communicatedirectly, and on behalf of,the President with Board members, donors, faculty, staff,external partners, and others, ona wide range ofmatters.
Research, prioritize, and followup on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determineappropriate courseof action, referral, or response. (contd)
Part 2 - Providea bridge for smooth communication between the President's officeand other executive offices withinternal departments;demonstrateleadership tomaintaincredibility,trustand support with senior management staff.
Work closely and effectively with the President to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer"and “confidante,”having a sense for the issues taking place in the environment and keeping the President updated.
Provide leadership to build relationships crucial to the success of theorganization andmanage a variety of special projects for theexecutive office.
Successfully completecritical aspects of deliverables with a hands-on approach, including draftingacknowledgementletters, personal correspondence, and other tasks thatfacilitatethe President's ability to effectively lead.
Prioritizeconflictingneeds;handlematters expeditiously, proactively, and follow-through onprojects to successful completion, often with deadline pressures.
Board Support and Liaison
Serve as the President's administrative liaison to the board oftrustees, including the coordination of the Board Chair’s calendar.
Maintaindiscretion and confidentiality in relationships with all board members.
Adhere to compliance with applicable rules and regulations set in bylaws/code of regulationsregardingboard and board committee matters, including advancepreparation anddistribution of materials before meetings in electronic/paper format.
As theassistant secretary of the board of trustees, gather, prepare, edit, seek approval for, and distribute agendas and pre-readingmaterialrequired for executive committee and board of trustee meetings.
As the assistant secretary of the board of trustees,serveas the staff manager for allboardcommittees as well as the board itself. (contd)

Senior Management Liaison

Ensure that the President's bio is kept updated and respond to requests for materialsregardingthe President and the organization in general.
Edit and completeselectivefirst drafts for written communications to external stakeholders.
Foster communication across key front-line administrative staff members in various departments to ensure proper coordination for activities that involve theExecutive Offices,President’s Councilor Board of Trustees
Institutional Advancement
Workwith theInstitutional Advancementteam in coordinatingand advising ontheExecutive Office’scultivation, stewardship, and solicitationactivities.
Follow up on contacts made by theexecutive officersand support the cultivation of ongoing relationships.
Given thatthe majority ofthe president’sresponsibilities are centered around fundraising, serve asa valuableandactivemember of the institutional advancement team as a thought partner, collaborator, and problem solver.
Education, Experience and Qualifications
Bachelor's degreerequired,with either apreferredfocus in music as a degree or as an avocation.
Strong work tenure: five totenyears of experience supporting C-Level Executives, preferably in a non-profit organization, ideally working closely with or for a sophisticated, statured board of trustees
Experience,interest, and temperamentin internal and external communications, partnership development, and fundraising. (contd)
Part 4 (LAST :) ) - Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point); experience with Raiser’s Edge donorsoftwarea plus.
Strong organizational skills that reflectabilityto perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Very stronginterpersonal skills and the ability to build relationships with stakeholders, including staff, board members, externalpartnersand donors.
Expert level written and verbal communication, editing, and proofingskills.
Demonstrated proactive approach to problem-solving with strong decision-making capability.
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, anddemonstratethe highest level of customer/client service and response.
Demonstrated ability to achieve high performance goals and meet deadlines in afast-pacedenvironment.
Two direct reports (1.) Administrative Assistant, Special Executive Projects (ad hoc), 2.) Executive Assistant, Executive Offices) and 3.) AVP of Information Technology. By virtue of the office, the employee has a wide-ranging influence and imputed authority across the entire institution as a representative of the Executive Offices and specifically the President’s Office. (Did not include competencies and personal attributes but they were listed too.) I'm more focused on the lengthy description.
How much is the compensation? Have you checked similar positions for comparison of the job description and salary?
Sorry I thought included it is $75 - $85...the description just seems weighed down and they are looking for 2 positions in 1 ?Of course that seems to be the way anymore which is very frustrating.
