Thanks for the career advice @AS1, don’t know who has burned you in the past Production/Project Management-wise but I’m perfectly happy with my career choices, thanks.
This tool is for an in-house team, and we’re rebuilding our process from the ground up. Coming from agency-side, I wanted to make sure I was doing as much research as I could before recommending a new tool to use. Thus the “best in class” PMS software recommendations in my initial post. Wanted to see if there were any additional tools from my fellow producers/project managers have used that they were happy with, especially considering how the PMS software landscape has changed in the last 5 years.
Maybe that’s my bad for not being as specific as possible in my initial post, but please do not jump to conclusions. Being client-side now, my priorities lie with them and the quality of work that’s being released. Like most producers in this industry.
If you have any real feedback, please provide.
Sincerely,
The perfectly qualified producer who originated this thread and is passionate about her career.
Get off your high horse AS1.. this thread was looking for software recommendations in efforts to continue to improve upon a teams process, and you had to interject with unsolicited and unfounded "career advice.” You know this person off one post and have the gumption to try and say they’re in the wrong field? We’re here for support and not to cut each other down. And account wonders where the negative stereotypes come from..
Please advise where you work so we can all be sure not to go there.
-From another PM who seriously valued the advice in this thread in regards to tools
- Workfront has been great for organizing projects that require multiple rounds of revisions/excessive feedback. Keeps everything consolidated and keeps the emails to a minimum (which is amazing) . It can also be looped into JIRA as a ticketing system so requesting work to particular departments is simple. They also have DAM capabilities but I never used it.
- Schedule TBD based on the size of the project. Smartsheets for large (more than a month). You can easily shift schedules, upload assets and set automatic reminders to people. Smaller projects I honestly use g-cal and a folder system. Keep it simple.
Not sure if that helped but good luck! I’m always looking for more efficient ways to do our job so let us know how your search ends!

Type of projects?
Varies, mostly design assets for web and experiential.
Huge fan of jira
Jira is for software development. Asana for resource and task management. OP - curious what are the issues/limits you’re facing with Smartsheet? There really is no silver bullet software for any of this, all programs work most effectively when the team is committed to making it work (which includes training, uniform use, and the ongoing transmission of tips and tricks amongst team members). It sounds like you are pretty quick to dismiss the tools you do have at your disposal (all of which are best in class) and managing design assets will never be a simple task as long as creative minds are involved. It’s your job to make things run smoothly for the sake of delivering quality work product to the client on time and on budget. The client deliverables should always be your #1 priority rather than fulfilling the personal preferences of internal resources on the team.
If you are have having trouble leveraging and advocating for the tools of your own trade, you should probably reconsider your current career path. It doesn’t sound like production is the best fit for you.
What's the main issue, adoption, reviews and approvals, etc?
There are a few different issues. I’m currently reevaluating their process and this tool will be an extension of it. So in an ideal world, I think we’d need to tackle:
- Task Management (per project)
- Dependencies (with alerts)
- Request Form
- Status Transparency for external stakeholders/project owners (dashboard)
- Software integration (dropbox, drive, slack)
Reviews/Approvals would be a nice to have. Would also like to have a repository/archive of all final content embedded but that might need to be done on my end.
I know there isn’t one software for all of our needs, but would like to get as close as possible. :)
Can you provide a little bit more on what you are trying to manage? There definitely isn’t a perfect management tool out there, but certain programs can deliver better depending on the asset.
Actually, I'm surprised Smartsheet can't work for you. You can definitely hook up request forms via Google, and I have found that creating a card view status with clearly defined progress lanes can really help for stakeholders. They have pretty robust alerts now, and integrations.
I would say it doesn't sound like you need anything too hardcore like Jira, and Asana is not going to have you.
Look at Wrike, or CMAP.
Sure, there is a wide variety of asset types, mostly print and web:
- social posts (paid and organic)
- web assets & design
- web collateral (data sheets, white papers, infographics)
-podcasts
- event print collateral (invites, brochures)
- experiential gfx (trade show booth designs)
- videos (product, promotional, OLV)
I prefer Smartsheet more for schedules, content tracking, data, to replace excel, etc. Basecamp and alfresco worked okay when the team adopted them fully. You might look at redmine. We use it currently and have fully customized it to suit our needs and style and roll out new features in between big projects
