I use my outlook calendar for my to do list. It also helps me to schedule times for when I plan to complete tasks.
It is also a good record to look back and see what's happened.
I flag emails I need to respond to still (immediately upon reading) and put a reminder on my calendar to clear those. I'm a highly distracted high performer. I really rely on on coffee for focus too as well as working out. Whatever works for you!
From experience - consolidate your notes and to do's into a simple chart in something like Excel or OneNote or Loop etc. The chart should contain a brief description of the task, the current assignee, delivery date, the to do items with check boxes, comments (if needed), and the relevant account (if needed). And add the delivery dates to a calendar that you use. Do this with everything as soon as you receive the task. I started blocking time every day to update the chart and ensure I was on track. It also helps me to consider what is needed the next day.
I used to do the exact same things you are and was constantly disorganized and struggling to get everything done on time etc. A coworker suggested this to me and it's been such an amazing help. I definitely got behind on updating it initially, but blocking time helped a lot in that regard. I also like using Onenote or Loop because you can share it with your team and everyone can see or update as needed - great for when you take PTO! But I'm sure there are other apps with that same capability.
I use a giant desktop calendar for keeping track of dates and a 5x7 notebook for notes with dates and times for each entry. So far I feel organized, now I just need more time to complete everything 🙃

Not to be that person but… if you can use transcripts on calls it has been a huge game changer, then I use ChatGPT to create running notes on each account, including the transcripts, so I can ask it questions on who said what, when, etc. good for task tracking too.

Honestly its a trial of process and error to figure out what works best for you. I have tried many different things but lists work best for me. I also use post-it notes to jot things down which helps.
