Yes and no. In many cases, it's part of the project managers role to facilitate effective and necessary discussions to move the project forward. And everyone (at least who I've worked with) realizes it's not easy or fast to coordinate the schedules of 5+ stakeholders with calendars full of recurring meetings. It usually involves negotiating with some attendees to open their calendars before even sending the invite.
Other times, if it's a meeting your colleague wants and will be leading, then yeah, they should schedule it themselves.
Well said!!! I personally hate booking other people’s meetings but I get having to coordinate with everyone’s schedule. Good points, even if it’s not my fave thing to do
When team members ask you to book meetings not related to project success or separate 1:1s you're not part of, it's reasonable to expect them to handle it themselves. In all other cases, as the project manager, you're typically the information nucleus and master orchestrator who has all the details, so you're often best positioned to arrange meetings that ensure the overall progress and success.
However, role boundaries and responsibilities should have been set at the project's outset, serving as a fallback if you're asked to do tasks beyond your remit.
Are these isolated instances of team members needing extra assistance, or are your responsibilities being misused or misunderstood consistently? Is it the entire team or just one individual?
You may need to reset expectations if it's the latter. As a project manager, it's within your purview to establish communication plans and RACIs, and ensure everyone understands them and complies.
