I can't. I just cry and smoke weed a lot.
My go to is task lists and blocking time on my calendar for specific tasks. My biggest enemies are unscheduled calls and IMs - so I also put myself as unavailable when i am concentrating on a specific taak
I use similar techniques- everything goes into todoist, even Jira tickets, emails, web pages, teams meeting notes and notes. I then time block tasks on my calendar. Sadly, I miss half my time block meetings and have to go back and rework. I keep teams turned off and don’t take calls that aren’t meetings. I review team messages 2x a day and respond - most of the time by telling people I don’t use teams well and to email or set up a meeting. I work my email like tasks. At work they all think I’m the most organized - got it all together person in the product org - but in reality, I’m a total mess just trying to keep things from crashing and burning on a daily basis.
I tend to lose my train of thought in virtual meetings so I record & transcribe them to listen through and take note of all the action items and impediments.
Also, I use the pomodoro technique to avoid procrastination. 25 minutes of work then a 5 minute break. Feel free to adjust the timebox to whatever works for you.
It’s checklists all day. Our brains are wired to chase dopamine like crazy. If you train your mind up to celebrate when you check off an item, you’ll chase the checklist all day.
I’ve set up a notion space and everything gets put in. All tasks and all meetings. Everything has a point value (15 minutes is 1 point) and I assume I have 24 points for the day because I know there will be at least an hour of unplanned stuff and an hour for breaks and distractions. I keep track all day of what is done and how many points it took. Then move it to another day if it doesn’t fit. Never commit to more than 24 points in the day. If it’s full, tasks need to be deprioritized.
And then I sometimes crash and just tell myself it happens and I start it all over again
Just posted this elsewhere but try motion! it’s a task management software that has an AI that schedules all your tasks for you!
They’re schedules based on length of time, due date & time, priority, and whether you need to complete a different task before starting it.
It has helped me immensely to visually see my timeblocked calendar. I used to timeblock but if i underestimated how long things would take/new priorities came up i had a hard time remembering to complete things after the time past. With motion it reschedules tasks until you mark it as complete.
As my brain thinks of nee tasks (always at the worst time) I quickly add it to motion and brain dump my thoughts in the notes sections to review later.
I spend 15 min at the end of my day going through making sure to mark tasks as complete as i often forget & brain dump any additional tasks. So much time saved!!!
How long have you used motion? They run a lot of ads - looks interesting - but I’m really curious to hear how long you’ve used it and if you still find it as positive as when you first started. Thx
